Getting Started with EasySpeak
As a new member of Sheffield Speakers, you’ll quickly become familiar with two online platforms: the Toastmasters International website (including Basecamp) and EasySpeak. Basecamp is typically covered during onboarding, but EasySpeak can sometimes get less attention — even though you’ll be using it at every meeting. The good news, as the name suggests, is that it really is easy.
What Is EasySpeak?
EasySpeak is the club management platform used by many Toastmasters clubs to organise meetings, assign roles, and track member progress. Think of it as Sheffield Speakers’ central hub for everything meeting-related.
How to Log In
There are two ways to access EasySpeak:
- Via email — Your VP of Education (VPE) will send you an invitation email containing a direct login link.
- Via the web address — You can navigate directly to the EasySpeak URL for your club.
Once logged in, you’ll land on your club’s homepage. If you’re a member of more than one club, all of them will be listed — simply select Sheffield Speakers as your home club to get started.
Confirming Your Attendance
At the top of the meeting page, you’ll see a thumbs up and a thumbs down button. If you’re attending, click the thumbs up so your VPE knows to expect you and can prepare the meeting accordingly. If you can’t make it, click thumbs down.
Signing Up for a Role
Browse the meeting page to see which roles are still open — timekeeper, speech evaluator, and so on. To assign yourself to a role, simply click Yes next to it. That’s all there is to it.
There are actually three ways to sign up for a role:
- Directly on the meeting page, as described above.
- Via My Participation > Sign Up for Meetings in the top navigation, which shows all upcoming meetings with open slots.
- Via the Sign Up for Meetings link in the left-hand sidebar, which takes you to the same page.
Requesting a Speech Slot
When you’re ready to give a speech, click the Reserve a Speech button in the top right of the meeting page. This opens a short form where you can:
- Enter your speech title — If you haven’t decided yet, just put “TBC”.
- Select your pathway — Choose from your Toastmasters educational pathway (for example, Leadership Development).
- Choose your speech type — For example, Icebreaker, so it appears correctly on the agenda.
- Pick three preferred dates — Giving your VPE a few options makes it much easier for them to schedule you in around other members.
You can also reach the same reservation form via My Participation > Sign Up for Meetings or the left-hand sidebar link.
Tracking Your Progress
To see which speeches you’ve completed and which are coming up, go to My Participation > View Speech Progress. You’ll get a clear overview of where you are in your pathway, with the option to scroll down for more detail.
Viewing Other Members’ Progress
Head to Membership Statistics to see recent role assignments across the club and a pathway chart showing what stage each member is at. It’s a handy way to get a sense of the broader club activity.
Exploring Other Clubs
One underused feature of EasySpeak is the ability to find and visit other clubs. Under Site Navigation > Find a Club, you can discover neighbouring clubs — both in-person and online. You’ll see their meeting details and website information, making it easy to get in touch and attend as a guest. It’s a great way to broaden your experience and see how different clubs run their meetings.
Cancelling a Role
If you’ve signed up for a role but can no longer attend, you can cancel by clicking the thumbs down button next to your assigned role. EasySpeak will ask you for a brief reason — you don’t have to provide one, but it helps your VPE plan accordingly.

EasySpeak is an intuitive platform, and the best way to get comfortable with it is simply to have a look around. Log in, explore the meeting pages, and don’t be afraid to click things — you won’t break anything. It’s a powerful tool for keeping your Toastmasters journey organised and on track.
